01Introduction
Prime Outcome (Pty) Ltd, trading as PrimeOutcome.ai ("Prime Outcome"), is a private company and private body conducting an advisory practice in South Africa. This manual is published in terms of section 51 of PAIA and describes the records held by Prime Outcome, how to request access to them, and how personal information is processed as required by POPIA. It is intentionally concise and is reviewed periodically.

03The Information Regulator's guide (section 10 of PAIA)
The Information Regulator has published a guide, in all official languages, on how to use PAIA (the "section 10 Guide"). It is available free of charge from the Information Regulator:

04Records held by Prime Outcome
Records that may be requested in terms of PAIA (subjects and categories):
- Statutory and company records — incorporation and registration documents, statutory registers.
- Financial and tax records — accounting records, invoices, bank statements, tax returns and related correspondence.
- Client and engagement records — proposals, engagement letters, contracts, advisory work product and related correspondence.
- Operational and administrative records — insurance, service-provider agreements, IT and correspondence records.
- Personnel and contractor records — employment and contractor agreements, remuneration, tax and related administrative records.
Records available in terms of other legislation, to the extent applicable, include records kept under the Companies Act 71 of 2008, the Income Tax Act 58 of 1962, the Value-Added Tax Act 89 of 1991 and POPIA.

05Processing of personal information (POPIA — section 51(1)(c) of PAIA)
Purposes of processing: delivering advisory services; client engagement and relationship management; invoicing and financial administration; staff and contractor administration; legal and regulatory compliance; and responding to enquiries.
Categories of data subjects and personal information:
- Clients and their representatives — names, job titles, business contact details, correspondence and billing information.
- Business contacts and enquirers — names, contact details and correspondence.
- Staff and contractors — names, identity numbers, contact details, employment or engagement terms, remuneration, tax and payroll-related information.
- Service providers — contact and contractual details.
Recipients: personal information may be shared with professional service providers (such as accounting, legal and IT providers) under appropriate safeguards, and with regulators or authorities where the law requires it. Personal information is not sold.
Cross-border flows: personal information is only transferred outside South Africa where necessary for the purposes above and in accordance with section 72 of POPIA.
Security measures: Prime Outcome applies reasonable, appropriate technical and organisational measures to secure personal information, including access control, password and device security, encrypted services where appropriate, and limiting access to those who need it.
06How to request access to a record
- Complete Form 2 (Request for Access to Record, Annexure A of the 2021 PAIA Regulations), available from the Information Regulator's website, and submit it to the head of the private body at the contact details in section 02.
- Identify the record, provide your contact details, and state which right you are exercising or protecting and why the record is required for that purpose (section 50 of PAIA).
- Pay the prescribed request fee of R140.00, and thereafter any access and reproduction fees prescribed in Annexure B of the PAIA Regulations, if the request is granted.
- Requests are decided within 30 days of receipt, which may be extended once by up to 30 days where PAIA permits.
- If a request is refused, or you are otherwise aggrieved, you may lodge a complaint with the Information Regulator (Form 5) or apply to a court with appropriate jurisdiction. There is no internal appeal procedure for a private body.
07Availability of this manual
This manual is available free of charge on www.primeoutcome.ai, for inspection at the principal place of business during normal office hours, and from the head of the private body on request. A copy will be provided to the Information Regulator on request.
